To safeguard the personal information entrusted to us by our clients, donors, employees, and volunteers and to our maintain compliance with the:
British Columbia Personal Information Protection Act and
federal Personal Information Protection and Electronic Documents Act.

Loaves and Fishes is committed to safeguarding the personal information entrusted to us by our clients, donors, employees, and volunteers.
The Personal Information Protection Act regulates the “collection, use and disclosure of personal information by organizations in a manner that recognizes both the right of individuals to protect their personal information and the need of organizations to collect, use or disclose personal information for purposes that a reasonable person would consider appropriate in the circumstances.”
Client Personal Information
In collecting personal information from clients, Loaves and Fishes relies on implicit consent, defined in the British Columbia Privacy Act, as “consent to the collection, use or disclosure of personal information by an organization for a purpose if (a) at the time the consent is deemed to be given, the purpose would be considered to be obvious to a reasonable person, and (b) the individual voluntarily provides the personal information to the organization for that purpose.”
Personal information added to our client database is held in the strictest confidence. This information will not be sold, traded, or otherwise distributed to any other organization or third party.
Loaves and Fishes makes every reasonable effort to ensure that personal information is accurate and complete and relies on individuals to notify if there is a change to personal information that may impact access to services.
Clients withdraw consent to the use and disclosure of personal information at any time unless the personal information is necessary to fulfill legal obligations. Loaves and Fishes will respect client decisions but may not be able to provide services if the necessary personal information is not consented to.
This policy shall be posted on our website and shall be available upon request at our office/warehouse and our free food markets.
Employee Personal Information
All employees are informed of any new purpose for which we will collect, use, or disclose personal employee information, or we will obtain consent, before or at the time the information is collected.
All employees with access to clients or donor personal information are asked to sign a document agreeing to keep all client and donor information confidential.
Loaves and Fishes will obtain consent to collect, use and disclose employees’ personal information for purposes unrelated to employment.
Volunteer Personal Information
All volunteers are informed of any new purpose for which we will collect, use, or disclose personal information, or we will obtain consent, before or at the time the information is collected.
Any volunteer with access to client or donor personal information is asked to sign a document agreeing to keep all client and donor information confidential.
Loaves and Fishes will obtain consent to collect, use and disclose volunteers’ personal information for purposes unrelated to their volunteer relationship.
Donor Personal Information
Loaves and Fishes will only request specific information from donors in order to complete a donation transaction or provide recognition for the donation. Personal information is added to the donor database.
Personal information collected by Loaves and Fishes will not be sold, traded, or otherwise distributed to any other organization or business.
Loaves and Fishes does not use personal information to conduct direct mail or phone solicitation campaigns without prior consent.
Application:
Directors, managers and supervisors are responsible for ensuring compliance with this policy.
All employees and volunteers are responsible for understanding this policy and maintaining compliance.
Directors and managers are responsible for developing and maintaining internal procedures to ensure compliance with this policy.
Any change to this policy must be approved by the Board of Directors.
